Harrogate Denture Clinic, including the term “HDC”, is the trading name of JB Dentures Limited – company number 11497873.
For the purposes of data protection legislation, JB Dentures Limited (trading as Harrogate Denture Clinic) is the data controller of your personal data. Our main place of business is 48 Otley Road, Harrogate, HG2 0DP.
Harrogate Denture Clinic (HDC) is committed to protecting your personal data and respecting your privacy. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and other applicable UK data protection and privacy laws.
This privacy notice explains how and why HDC collects personal data. It also explains how we will keep it safe and confidential.
Should we ask you for your personal data (e.g. name or contact information), then you can be assured that it will only be used in accordance with this privacy statement. Any information which is confidential in nature will be kept as such, as per the security and retention methods outlined in this policy.
Our business activities mean we may collect personal and non-personal data about our patients, suppliers and contractors which help us respond to queries, provide services, secure specialist services to meet the needs of our patients and customers. We may keep this data in written form and/or in digital form.
HDC will undertake an annual review of this policy and make any changes necessary. It will also make changes to this policy as required. HDC can provide a copy of this policy upon request. This policy is effective from November 2023.

Purposes of Collecting Data
We collect and hold data for the purposes of:
- providing denture and gumshield services directly to our patients;
- manufacturing and providing dentures and dental appliances to dental care professionals;
- procurement of dental appliances from suppliers;
- selling and delivering denture and dental-related products.

Contract – to provide services, respond to enquiries and manage payments.
Legal obligation – to comply with regulatory and record-keeping duties.
Legitimate interests – to manage and improve services, handle queries, and communicate about similar products.
Consent – for photographs, videos and certain marketing communications.
For health data, we also rely on the lawful basis of providing health or social care or treatment.
Section 1 – Personal Data
Patients and Customers
We collect contact data such as name, address, email and telephone number so we can provide services, respond to queries and manage advertising or mailing list subscriptions. Data is held confidentially and shared only when required to deliver treatment, such as with dental practices or laboratories.
We use Calendly for online appointment booking. Calendly collects name and contact data to schedule appointments. We recommend reviewing Calendly’s privacy policy. We remain responsible for data Calendly collects for bookings made with us.
With consent, we collect photographs or videos for training, education, marketing or promotional use. We aim to keep materials anonymous where possible.
We also collect relevant health data for providing denture or gumshield services such as impressions, mouth images, scans, information on health conditions, medications, GP and dentist details, emergency contact details, lifestyle habits and referral forms. This is held confidentially and shared only when required, and only the minimum necessary.
We collect banking data to process payments for treatments or online purchases. This data may be shared with banking authorities and stored securely. For patients using Tabeo finance, please review Tabeo’s Privacy Policy.
We will not share personal data with third parties without permission unless required by law.
Section 1.1 – Retention of Personal Data
Queries: kept for six months after full response.
Advertising photos/videos: retained for the duration of HDC unless consent is withdrawn. Anonymous material may not require consent.
Mailing lists: retained for the duration of HDC, cleansed monthly. You may unsubscribe at any time.
Health data (completed treatment): retained for at least ten years. For children or young people, records may be kept until their 25th birthday or longer.
Health data (incomplete treatment): retained for one year.
Finance data: card details held only until payment is secured. Summary financial records retained for ten years.

This section explains how we use data collected from social media channels such as Facebook, Twitter, YouTube, Instagram and LinkedIn.
We use cookies on our social media channels. External platforms may also use cookies according to their policies.
We may collect anonymous or identifiable information about your engagement with our social media content. We may also receive data shared by the platforms according to your privacy settings.
Information may be shared with third parties working on our behalf to enhance your experience or provide customer assistance.
If data is transferred outside the UK or EEA, safeguards will be applied.

By engaging with our channels, you accept these terms. If you disagree, do not use our channels.

By submitting content, you grant HDC a worldwide, royalty free licence to use, copy, edit, reproduce and publish this material for any purpose.
We may moderate, edit or remove posts. We may suspend access for breaches of these terms.

These terms are governed by the laws of England and Wales.
